Orders can be synced from Salesforce to AFAS.

Process

You can set the status on which orders are sent, like only the paid orders.

Once APIcenter retrieves the order data, it is processed, and missing data (for example, administration ID) is added, and the sendOrder starts.

First, APIcenter checks if the order already exists; if it exists, we skip the order. If it does not exist, APIcenter checks if the customer exists and, depending on the outcome, creates or updates the customer. APIcenter checks if all products exist, and then the order is committed.

APIcenter differentiates in creating the customer based on the source data received. If APIcenter receives a company name from the source, then a company debtor is created with the underlying contact. If there is no company, then a person debtor is created.

The check if a customer is exists is based on the email adress.

Ordertypes

AFAS supports Quotations, Orders, Invoices, DirectInvoices and financial mutations,

An order can be created in Shopify

Settings

There are multiple settings important for the flow to be working correctly. You can set your debtor ledger account, Payment Terms, Administration ID via the Wizard.

Standard we offer functionality to make specific mappings like payment terms and methods from the AFAS to the Salesforce.

Do you want to make use of a default debtor? This is also per default available in APIcenter.

For a complete overview please check the documentation.

Datamapper

Per default APIcenter supplies a mapping that makes sure you can send an order towards Salesforce. You can also make adjustments to this yourself.

Default fields that are mapped are for example:

  • Customer Name
  • Billing address street
  • Number
  • Postalcode
  • City
  • Country
  • Shipping address street
  • Number
  • Postalcode
  • City
  • Country
  • SKU
  • Quantity
  • Price

Process

Products can be synced from AFAS to AFAS. Within this sync, different types of products are supported. APIcenter gathers the data from Salesforce, then it is run through APIcenter to have the correct settings, values, and formats before it is sent to AFAS. Products are created or updated based on the SKU.

You can differentiate within APIcenter the behavior between creating and updating products. For example, when APIcenter creates a product and sends in the long description from the Salesforce, but if you enrich the data after this in AFAS, you don't want to have it overwritten with an update. For this, you can set a checkbox to update the product info.

Product types

Supported product types: Simple, variant/configurable products.

Attributes/Features

Besides the generic and custom added fields from Salesforce, Item Attributes from Salesforce are also supported. These need to be manually mapped in APIcenter.

Attributes are used for creating configurable products, like size/color/options. Features are used as extra information fields, think about the country of origin, type, delivery time, etc.

Categories

Categories can be created or updated from Salesforce to AFAS.

Images

Images are supported from Salesforce to AFAS.

Datamapper

You can map extra fields that are available in the API. For a default working integration, we have already mapped the basic fields that are needed, for example:

Fields

  • Name/Title
  • SKU
  • Long Description
  • Short Description
  • Price excl. tax or incl. tax
  • Quantity
  • EAN/GTIN
  • Currency

Process

Stock can be synced from AFAS to TARGET.

Settings

Different types of stock calculations are supported. By default the available stock - sales reservations is send.

You can set the value towards target system if you want to have the stock managed or not.

Process

Customers can be synced from Salesforce to AFAS.

APIcenter differentiates in creating the customer based on the source data received. If APIcenter receives a company name from the source, then a company debtor is created with the underlying contact. If there is no company, then a person debtor is created.

Customers are also created via Orders, this sync is not needed for a orderflow but only in case if you want to sync customers between various systems.

Prices are retrieved from AFAS and send to TARGET

Prices are synced based upon pricegroups. One on One Customer specific Prices are by default not supported. It is advisable to have a customer sync in place to have the customer on the correct group to have the group specific prices available.

Process

We check if the product exists, if it exists we check of the customer/price group exists. If both checks are ok we create a price for this specific customer group.

Process

Within this flow we set product relations, cross sell / up-sell and related products. This doesn't fit in the regular product flow as the products already needs to be created before we create a product relation.

Process

Shipments can be retrieved from AFAS and synced to AFAS.

With this shipment flow we create a shipment in the target system. We set the track and trace value and a transporter.

Be aware that split up shipments can create strange behaviour on the integration as some systems do not support split up shipments.

To be able to make use of our AFAS integrations, the corresponding getConnectors needs to be installed and a appconnector needs to be added.

Make sure you add IP restrictions to your App connector to have a secured integration.

How APIcenter
works

APIcenter is a platform where you can set up an integration yourself. But how does this work? By registering you will enter the dashboard. Here you can “connect” your different systems together. You add your systems/applications first. Then you generally indicate what you want to link, for example products or orders. In the next step you will be asked what your specific wishes are. When that is filled in, you are done and you can test whether everything works as you wish! It can be that simple.

Always up to date
